BOOKING & GENERAL CONDITIONS

BOOKING CONDITIONS :

Bookings are subject to an initial payment of 30% of the total amount due.

Should a booking be made less than 30 days prior to departure the entire amount is due on acceptance of the quote provided by MNA (My Namib Africa).

 

BOOKING CONFIRMATION – CONTRACT :

Final confirmation of your reservation for the safari of your choice is subject to payment of the total amount due a minimum of 30 days prior to departure and reception of written confirmation of you payment sent by e-mail (scanner) or fax indicating that the amount billed has been paid in full.

Subsequently MNA will send booking confirmation rendering the contract effective.

 

PRICES :

All prices indicated by MNA are based on tariffs valid for a given period.
Changes to exchange rates and/or other factors over which MNA has no control, may lead to changes in price at any time without prior notice being given, excepting when MNA has previously provided a quote.

 

PAYMENT :

- Bank transfer

- Payment slips (Swiss)

N.B. All banking charges are at the expense of the customer

FAMILY DISCOUNT :

- 5% discount on the total amount due, for a group of adults of the same family with their children over the age of 12 years

- For children between 7 and 12 years of age, a 20% discount is granted (per person) on the price of the chosen programme (not more than one discount can be applied)

For security reasons children under the age of 7 are not accepted. Even if MNA grants a special dispensation in view of the itinerary chosen, this in no way engages the liability of MNA.

 

GROUP DISCOUNT :

- 5% discount on the total amount due for a group of 5 participants including at least one child under the age of 12

- For a group of 5 adults or more, the entire infrastructure is duplicated (or upon request, depending on the safari chosen a larger vehicle can be made available). A 5% discount on the final amount due will be granted.

CHANGES :

If you wish to modify your safari (departure date, type of accommodation or part of the itinerary) after making your down payment, you must inform us in writing and we will do our utmost to make the requested changes but cannot guarantee that this will be possible.

 

CANCELLATION CHARGES :

- Over 45 days before departure €50.- to cover administrative costs

- Between 45 and 30 days before departure 30% of the total amount due

- Between 29 and 21 days before departure: 60% of the total amount due,

- Between 20 and 1 day before departure: 90% of the total amount due,

For cancellation on the day of departure no refund is granted.

 

NON REFUNDABLE :

If during the tour a client’s behaviour is considered inappropriate :

- towards other clients, the local population or authorities,

- towards animals or nature in general,

- in the tourist sites, in national or private parks, reserves or other locations,

My Namib Africa has the right to terminate the client’s tour with immediate effect. In such a case there is no entitlement to appeal or refund. My Namib Africa retains the right to bill for damages incurred.

 

TOUR CANCELLATION :

Safaris can be interrupted, suspended or cancelled because of situations or events beyond our control, hostilities, war, civil war, local conditions that threaten persons or property, natural or nuclear disasters, terrorist activities, abnormal climatic and atmospheric conditions or similar events that over which we have no control.

My Namib Africa is in no way responsible for these events and no refund will be granted if a tour has to be interrupted or cancelled.

 

INSURANCE & MEDICAL ASSISTANCE :

In accordance with the terms of these booking & general conditions with the exception of the medical rescue service and passenger insurance in our vehicles it is the client’s responsibility to obtain the relevant travel and health insurance which covers, repatriation, luggage, safari or flight cancellations. Insurance should also cover medical or hospital charges in the countries visited.

 

HEALTH – VACCINATIONS

No vaccinations are necessary. However, it is advisable to make sure that boosters are up-to-date.

From April to November there are practically no mosquitoes in Namibia except in the far North and the Okavango Delta, where malaria protection is recommended in the case of extended stays.

 

FORMALITIES

Clients are responsible for dealing with all necessary formalities. Information provided by us is purely indicative. My Namib Africa is not responsible for obtaining required official documents and is not liable for any costs relating to obtaining such documents.

Participants must ensure that they are informed and comply with health regulations and entry procedures (passport, visa etc) prevailing in the country (countries) of destination. Should the above not be respected, MNA can in no way be held responsible.

 

FLIGHT PLANS :

Clients are required to provide us with flight details at least 10 days prior to arrival otherwise MNA cannot guarantee transfers from and to Windhoek airport and these will be billed.

In the case of last minute changes to flight plans or delays you must contact your guide at the phone number indicated on your order confirmation.

Clients alone are responsible for reconfirming return flights with the airline at least 3 days prior to departure.

 

LUGGAGE :

Luggage in whatever form is the client’s responsibility. Hard shell or rigid suitcases will not be accepted on safaris.

 

SPECIAL REQUESTS :

Any special requests (e.g. regarding a specific diet, etc..) must be indicated when making your reservation. We will do our best meet your requirements although we cannot guarantee to do so.

 

PERSONS OF LIMITED MOBILITY :

People whose mobility is limited must take note that our safaris cannot be adapted (or only partially) to their needs. It is imperative that you inform us of limitations when booking.

SATELLITE PHONE - GPS

Your guide’s satellite phone number is listed on your booking confirmation. During your tour you are entitled to receive emergency calls at this number free of charge. During your tour, our satellite phones guarantee permanent connection to the network.

The satellite phone is at your disposal to make and receive calls at the rate of 5€ per minute payable to your guide.

In case of an emergency GPS coordinates of your position can be transmitted to rescue services.

 

STANDARDS AND REQUIREMENTS :

We request you to take note that standards in foreign countries (restaurants – bars – accommodation – service, etc.) frequently differ from those prevailing in European countries.

Be open-minded with regard to the standards customary in the country of your destination which are often described clearly in travel guides available from bookshops.

 

GENERAL RULES :

Participants agree to conform to and to follow the instructions and recommendations given by My Namib Africa and/or your tour guide. Every trip, safari or visit is subject to risk, however minimal this may be. Clients declare themselves aware of these risks and can in no way invoke the responsibility of My Namib Africa with respect to incidents or accidents that occur during your stay.

 

COMPLAINTS :

If you are dissatisfied with any aspect of the tour organised by us, you must let us know in order that we may take measures to rectify the situation rapidly, if possible already during the tour. If no solution can be found on site, it is mandatory, in order to obtain potential compensation, that you send your complaint in writing with supporting documents to the following address :

Complaints not made during Safaris will not be considered.

My Namib Africa is a company registered in Namibia. Disputes are subject exclusively to the jurisdiction of the competent courts of Windhoek.
